Introduction

The purpose of this communication plan is to define the communication methods and channels used for the FUTURE16. Clear and consistent communication ensures good information flow as well as helps to achieve project's quality objectives.

Stakeholders

  1. Project group team members: Ilmo Pitkänen, Samir Benjenna, Juhani Jussila, Pyry Anttila, Stefano Confalone
  2. Scrum master and Coaches: Marko Rintamäki, Justus Hänninen, Reima Parviainen
  3. Stakeholder representatives: Future16, Combitech, Iotitude
  4. External stakeholders

This plan provides the basis for communication between the project team and three other project stakeholders.

General Communications Channels

Future16 is using various forms of written and verbal communication

  • Discord: Primary communication platform for team and mentors.
  • Teams, Used for weekly meetings between team members.
  • Zoom, Primary channel for sharing information between stakeholders, project manager, coaches and mentors and teams.

Written Communication Models

  • Discord: Main platform for written communication. Important links, instructions and general questions between team members are shared there.

Internal Communications

  • Daily scrums: Every Monday and Friday at 9:00-9.15, between team members. We will discuss about progress, current tasks and plan for the day.

  • Discord: The primary channel for internal communication among team members.

Communications with Coaches

  • Discord: Main channel for communication with coaches. Coaches will answer questions about the project and provide feedback.

  • Zoom: Scrum Masters and Coaches share project information during Zoom meetings.

Communications with Stakeholder Representatives

  • Zoom: Product Owner meetings are conducted on Zoom.

  • Discord: Serves as our chosen platform for written communication among Stakeholder Representatives.

Communications with External Stakeholders

  • Meetings and discussions with external stakeholders as required, through agreed-upon communication channels.

Monitoring and Evaluation of Communications

  • Regular assessment of the effectiveness and efficiency of communication practices.

  • We actively seek feedback from stakeholders, team members, and coaches to identify opportunities for improvement.

  • The communication plan is subject to iterative adjustments, responding to the project's evolving needs.
